Terms and Conditions
1. Booking times
1.1 Standard evening room hire times begin at 17.00 on weekdays and Sundays and at either 17.00 or
18.00 on Saturdays depending on whether the first team has a home game. If a booking is made for a Saturday
during the football season at a time when the fixture list for that season has not been published, the booking will
initially be made from 18.00 but will be brought forward to 17.00 if no home game is scheduled. Evening bookings end at midnight. The hire period can be extended after midnight for a maximum of 1 hour at a cost of £50 if agreed and paid for not less than 7 days prior to the event .
2. Payment and cancellation.
2.1 A 50% deposit is payable at the time of booking. The balance must be received by SRFC not later than 7 days prior to the event. In default, the booking will be cancelled and the deposit will be forfeited.
2.2 If the event is cancelled by the hirer 28 days or less prior to the event, the deposit will be forfeited unless the room can be re-hired in which case the deposit will be refunded less a 20% administration charge.
3. Catering.
3.1 This agreement is for the hire of a room only. No catering, refreshment or other services are included in the price. Hirers who self-cater for their events are not permitted to have access to the on-site kitchen and are solely responsible for the quality of the food they provide and for complying with all food hygiene and environmental health regulations. By signing the room hire agreement, the hirer agrees to indemnify SRFC from all claims arising from the provision of food for the event. The hirer is responsible for the removal of all food waste from the site.
The dumping of food waste in any of the on-site waste disposal bins or elsewhere, is prohibited.
4. Liability for damage.
4.1 The hirer is liable for the cost of repairing any damage caused by the hirer or any of their guests that is not covered by SRFC’s insurance. If damage is caused, the hirer will be invited to agree the cost of repair or replacement. If no agreement can be reached, SRFC reserves the right to proceed with the repair or replacement and recover the cost from the hirer.
5. Door supervisors.
5.1 SRFC is required by the terms of its licence to risk assess all events at the social club. If the assessment is that one or more registered door supervisors is required, the hirer will be notified not less than 7 days prior to the event.
5.2 If the event is a 21st birthday party, two registered door supervisors are required to attend throughout the event.
5.3 Where registered door supervisors are required, they will be supplied by SRFC at the current industry rate. If the need for a registered door supervisor or supervisors is identified after the agreement has been signed, the hirer
will be notified as soon as practicable, and the cost will be added to the balance due. The hirer may cancel the event within 48 hours of being notified of the additional charge without penalty.
6. Birthday parties.
6.1 SRFC does not cater for 18th birthday parties. If it appears to SRFC that an event which has been booked under another description is in fact an 18th birthday party, SRFC will cancel the agreement and return the hirers
deposit less a 20% administration charge if the event is cancelled more than 7 days before it was due to take place, or 50% if later.
6.2 Birthday parties for children and young people must be supervised by parents, carers or other responsible adults throughout.
7. Room and table decorations.
7.1 The room must be cleared of all refuse and all table decorations must be removed by the hirer at the end of the event or, with the prior agreement of SRFC, by not later than 10.30 a.m. the following morning. If the room has
not been cleared and decorations removed by the deadline, a charge of £50 may be levied.
7.2 If any pictures are to be mounted on walls during the event, the hirer must not use or permit others to use, blue tack, cellotape or drawing pins. Only white tack can be used. SRFC can provide screens for pictures and photos on request.
7.3 The use of candles and other naked flames and smoke makers is strictly prohibited.
8. Behaviour.
8.1 SRFC reserves the right to ask the hirer or any member of the hirer’s party to leave the premises if they are deemed to be causing or inciting trouble.
9. Additional T&Cs.
9.1 If the government or the local authority imposes any restrictions on events of the nature for which the room has been hired, whether because of Covid 19 or any other reasons, the hirer will be notified of those restrictions as soon as reasonably practicable. Upon being notified, the hirer has 72 hours in which to cancel or re-arrange the event without penalty. If the event proceeds, the hirer and all members of the hirer’s party must comply with all such restrictions and also with all measures taken by SRFC in the light of those restrictions
