As a Destination Wedding Travel Consultant my role includes:
• Assist in choice of destination. Cover up to 3 locations that meet or exceed the expectations of the wedding couple and their wedding package inclusions.

• Negotiate supplier group contract or group code to include discounts for all guest reservations where the number of required room nights meets or exceeds minimum requirements as determined by the resort policies.

• Create a dedicated micro-site for the couple’s destination wedding if desired which will be located on our website – www.violetclovertravelgroup.com. Information included on the Couples page – Resort information, How to Make Reservations with Reservation Form Link, Resort Photos, Group Rates if Applicable.

• Secure wedding date, general location within the resort, and provide legal destination marriage requirements. It is, however, the responsibility of the bride/groom to complete all paperwork and provide payment means in a timely manner.

• Arrange all travel plans for guests attending including round-trip air, hotel accommodations, transfer to and from airport/hotel, travel insurance, pre-planned destination tours

• Wedding-moon registry setup available upon request.

• Coordinate honeymoon plans for the bride and groom.

Violet Clover Travel Group is a travel agency and not the actual wedding coordinator.

Our responsibilities are related strictly to the facilitation of travel, acquisition of accommodations and securement of an event venue for the bride and groom and any guests of the wedding event.

We will facilitate the initial communication between the bride and the wedding coordinator who will assist with ceremony details such as colors, cake flavors, etc at the appropriate time.

Violet Clover Travel Group will make every reasonable effort to communicate with the bride and groom provided phone numbers, mailing addresses and electronic communication means are kept current.

It is the responsibility of the bride/groom to inform Violet Clover Travel Group of any changes as soon as possible.

To request our professional travel services we require a deposit of $100.00.

The payment is non-refundable, but 100% will be applied toward the final invoice/reservation for the wedding couple.

If you choose not to book your destination wedding with Violet Clover Travel Group your payment will be retained by Violet Clover Travel Group as payment for professional services rendered.

$100 + 3.75% credit card processing fee = $103.75

Violet Clover Travel Group offers retail travel services to customers, which are provided by separate and independent vendors of travel services. Violet Clover Travel Group does not operate, control, or otherwise provide the services of the independent travel vendors. Hence, customer agrees that Violet Clover Travel Group acts only as agent for the client in acquiring transportation, hotel accommodations, sightseeing and other privileges, or services for the clients’ benefit, and on the express condition that Violet Clover Travel Group shall not be responsible for any loss, accident, injury, delay, defect, omission or irregularity which may occur or be occasioned, whether by reason of any act, negligence or default of any company or person engaged in or responsible for carrying out any of the arrangements, or otherwise in connection therewith.

This service agreement only applies to destination wedding travel services provided by Violet Clover Travel Group. This agreement does not represent resort, airlines and other wedding vendor services. Any resort, airline or vendor penalties incurred by the bride/groom as a result of cancellation are the sole responsibility of the bride/groom as presented in subsequent contracts.

Please note that all service provided by Violet Clover Travel Group has been suspended until a copy of this agreement has reached our office. We will notify you upon receipt of this agreement

I understand the Plan To Go Deposit is non-refundable for any reason. By signing below, I give authorization for Violet Clover Travel Group to charge my card for the deposit which will be applied to the final payment for travel arrangements or retained by the company as presented in this agreement.

This a separate deposit from the total trip cost and must be paid prior to a Travel Consultant beginning any research, booking or consulting services. If the client books their travel with Violet Clover Travel Group within 10 days of the receipt of proposal, the plan to go deposit will be applied to the client’s final payment. If the client fails to secure the quote (by paying the vendor’s deposit) within 10 business days, Violet Clover Travel Group will retain the plan to go deposit. No exceptions will be made.

Price quotes are not guaranteed until a deposit is submitted by the client by the deadline deemed by the vendor NOT the 10 business days given to retain our services.

With each paid plan to go deposit, the client will receive 3 proposals. Both proposals will consist of the same destination, selected date(s) of travel, choice of hotel/resort, one flight, car rental, train, etc. Any changes ie. destination, dates, hotel/resort, or mode of transport will result in an additional plan to go deposit per request.
