  • President

    Description:

    It shall be the duty of the President to preside at meetings of the Board and General Membership and to act as a spokesperson overseeing all Board member duties. The President shall be responsible for signing all league documents unless he or she has delegated the duties to a fellow board member. He/she shall act as the liaison between the board and the community; attest to all orders upon the Treasurer; shall coordinate and oversee the All-Star committee; shall be the custodian of the League By-Laws, Operating Rules, and shall maintain the League’s corporation status with the Secretary of State. The President shall update corporation status with the Secretary of State the first term on the Board. The President shall attend or appoint a league representative to attend all monthly (every 4th Tuesday at W.C. City Hall) Sports Council meetings with City of West Covina community services. The president is responsible for submitting the annual CIP (Capital Improvement Projects) to the Community Service Director. He/she shall attend all ASA meetings and maintain the League’s good standing with ASA; shall be responsible for maintaining communication and relationship with the Principal of Cameron Elementary School for which the league is utilizing fields for practice and/or games. Be an ex-officio member to all committees. The president is expected to ensure the League and activities are in compliance with all City and Facility usage agreements and guidelines (park master plan). Facility Usage Request must be submitted to Community Services for all activities prior to facility usage. The President will also check the P.O. periodically for League mail.
  • Chief Player Agent

    Description:

    He/she shall oversee all division Player Agents and monitor all activities and make recommendations for improvements where needed. He/she shall oversee the evaluation and recommendation of all managers for all divisions
  • Assistant Equip. & Field Mgr

    Description:

    Shall assist the Equipment & Field Manager in maintaining the fields during the course of the season
  • Secretary / Registrar

    Description:

    This position is a combination of 2 important key roles. The person applying must have excellent written & verbal skills. Team player and be available for ALL functions throughout the year. Must attend all meetings, work all tournaments and abide by the confidentiality disclosure.
    Job consists of:
    1. Shall be responsible for recording the minutes of monthly Board and General Membership meetings
    2. Notifying board members of meetings & shall keep a record of board member attendance and status
    3. Prepare the ballots for voting.
    4. If deemed necessary, the meetings shall be recorded on tape and retained until the minutes have been formally transcribed in writing and approved.
    5. He/She shall also keep a hard copy of all and any Board meeting roll sheets, agendas and minutes in one organized central location for League member review.
    6. Must have previously held a position on The Board of Directors for one year.
    7. Will be in possession of important league documents with copies to Treasurer.
    8. Will assist the Team Mom/Parent Information Coordinator and be responsible for the Team Mom meeting in February for the Spring season and September for the Winter season
    9. Will coordinate the preparation with Team Coordinator , the team Manager Books for the Spring and Winter seasons
    10. Will notify all Board Members 48 hours prior to a regular meeting and 24 hours prior to a special
    11. Will assist webmaster with the calendar and any proposed changes to events to the Board for approval
    12. He/She is responsible for each season’s Player Registration and for ASA Registration, Including All-Star registration. Taking photos for ASA upgrades during All Star Season.
    13. Taking team folders to Xochitl for data entry.
    14. Enter all sizing of league players into order forms for uniform company. Pass out all uniforms to teams, hold record of team pick ups, work with teams to exchange sizes, correct errors, if any.
    15. Assist Treasurer with Tournament paperwork
    15. He/she shall have other duties as assigned by President & Vice President.
    16. He/She must work ALL tournaments, meetings, league functions & assist in snack bar. Any absences must be preapproved by President. Memorial & Toys 4 Tots Tournaments are mandatory.
    17. He/She must be discreet and keep all league business confidential. Any discrepancy in the disclosure of any matter is terms for immediate termination of position.
    18. He/She must not consume any alcohol when on board duty. This includes Cameron Park, Cameron school fields & BLD. Unless off duty, or approval of President.
    18. The term of office for an individual to serve as the Board Secretary/Registrar is two year officer terms .
  • Equipment & Field Manager

    Description:

    He/she shall be responsible for the maintenance, storage, distribution, and collection of all league equipment, with the exception of food service equipment. Obtain and return a check or cash deposit upon distribution of equipment. Upon taking office, he/she shall do an inventory of all equipment and submit it to the Board. He/she shall buy all necessary equipment as allowed by the budget guidelines with Board approval.

    He/she shall be responsible for assigning volunteers and team parents to work the Field Clean Up Work Party. He or she shall oversee the maintenance and care of all League fields. In addition, he or she shall be responsible for maintaining proper supplies and inventories in the facility storage bins for proper game setups. Upon taking office, he/she shall do an inventory of all equipment and submit it to the Board. He/she shall buy all necessary equipment as allowed by the budget guidelines with Board approval. Notifies the appropriate city departments of any maintenance and unsafe/hazardous locations.
  • Scheduler

    Description:
    Shall be responsible for the preparation of the playing schedule for all divisions as well as all Tournament Play, Practice schedules, and submit the schedule to the Board for approval. The scheduler will also coordinate the scheduling of the Umpires with the UIC or Assigner for the league if required. He/she shall be responsible for assisting with the schedule, tournament programs, and other special projects and event programs as needed.
  • Player Agent

    Description:

    He/she shall be in charge of division’s player skills assessment, player draft (including player waiting list), and team placement for the season and All-Stars. He/she shall act as the liaison between managers, parents, and players in said division, monitor its activities and make recommendations for improvements where needed and shall prepare conduct and/or disciplinary evaluations. He/she shall present a written report on any decisions made involving any player or manager at each board meeting. He/she shall be responsible for the evaluation and recommendation of all managers for said division for board approval. Shall hold monthly meetings with division team managers
  • Snack Bar Manager

    Description:

    This position is an important key role. The person applying must have excellent written & verbal skills. Team player and be available for ALL functions throughout the year. Must attend all meetings, work all tournaments, and abide by confidentiality disclosure.
    The job consists of:

    1. Shall be responsible for Snack bar keys, opening and closing snack bar, and locking up bathrooms if necessary
    2. He/she shall be responsible for assigning volunteers and team parents to work the snack bar. Once a volunteer completes hours, shall provide treasurer list of parents who worked final hours to receive snack bar checks back.
    3. He /She shall maintain an accurate inventory of all food products and non-perishable items.
    4. He / She will oversee the end of the snack bar day, count all money in the cash register, and use the end-of-day sheet for money accountability. Money must be counted by 2 or 3 people and signed for by the food service manager and one (1) another board member at the close of the day. Then deposit it in the cash box for the treasurer to pick up the next day or that evening.
    5. He / She shall provide the treasurer with all food receipts used with gift cards and /or petty cash.
    6. He / She shall upkeep & shop for food supplies for weekly use.
    7. He / She will clean and maintain the snack bar in good working condition.
    8. All menus, pricing, and suppliers shall have prior Board approval for any sales or purchases
    9. He/she shall have other duties as assigned by the President & Vice President.

  • Snack Bar Assistant

    Description:

    He/she shall assist the Snack Bar Manager with all Manager duties as required. Open, close, and control access to the snack bars.

    He /She must work ALL tournaments, meetings, league functions & assist in the snack bar. Any absences must be preapproved by President. ALL Memorial & Toys 4 Tots Tournaments are mandatory.

    He/She must be discreet and keep all league business confidential. Any discrepancy in the disclosure of any matter is the term for immediate termination of position.
