ATLAS SECURITY & INVESTIGATIONS VEHICLE POLICY
Vehicles & Equipment
It is the Standard Operating Guideline of the Company to keep all Company Vehicles & Equipment in a constant state of readiness at all times. The procedures below give a definitive course of action for all employees to follow.
COMPANY VEHICLE: Vehicle Purpose: Tulsa Welding School Patrol Vehicle
A. Patrol Vehicles are to be used only for Official Company Business.
B. Company vehicles are provided to support business activities and are to be used only by qualified and authorized employees. They are Not to be considered a part of an employee’s compensation, and these vehicles are to be operated in strict compliance with motor vehicle laws of the jurisdiction in which they are driven and with the utmost regard for their care and cost-efficient use.
C. With the exception of Patrol Operations, Patrol Vehicles may not be used without permission from Chief Jim or Holly Seward or Deputy Chief Christopher Thompson.
D. Smoking is not permitted inside the vehicle.
E. The Officer must have the ability to change a tire, should one become flat.
F. Only authorized Officers will have Shell or Exxon fuel cards to fill up the vehicle.
G. Jumping off another vehicle using the patrol car is prohibited. Using the provided Jump Box is allowed.
H. Seat belts are to be worn by all occupants of any Patrol Vehicle while in motion. (Exclusion Tulsa Parking Lot)
I. Vehicle AM/FM radios shall be kept at a reasonable volume. Offensive music or talk shows shall not be played while others may hear the sound. Plus, the ability to hear someone who needs help or is trying to flag you down is very important. Keeping the window down a few inches will facilitate this.
J. Patrol Vehicles are to be kept clean and neat, no garbage is to be left inside. Let’s make this vehicle last and look sharp.
K. When Patrol Vehicles are parked, turn off all equipment and accessories.
L. All Patrol Vehicles shall be washed regularly. (Not the Officer's Job)
M. No passengers are allowed to ride in the vehicle. This is for insurance purposes.
N. Employees shall not use any cell phones, tablets, laptop computers, or other similar devices while driving. Employees shall pull over and park where legally allowed to do so in order to use such devices. Also, employees are not allowed to eat and/or drink while driving.
MAINTENANCE INSPECTIONS
It is necessary for all Company Vehicles to be maintained in proper working order to ensure that they will be ready at all times. In order to ensure this, it is necessary to inspect and test all Patrol Vehicles on a routine basis. The following outline identifies the steps taken in the Inspection Process:
A. A Patrol Vehicle Inspection Form on www.txasi.info shall be used to make sure all necessary items are checked and to document that inspections were made.
B. If a condition is found on a Patrol Vehicle to be out of order or in need of service or repair, the Immediate Supervisor must be notified.
C. Vehicles should not be operated with any defect that would inhibit safe operation during current and foreseeable weather and lighting conditions. Preventive maintenance such as, but not limited to regular oil changes, lubrication, tire pressure, tire replacement(not flats), brake pad & rotor replacement etc. will be performed by a qualified mechanic. Vehicle inspections should be performed before each use (at the beginning of your shift). This includes fluid checks to determine, to a large extent, whether you will have a reliable, safe vehicle to drive and support work activities. Fluids should be added as needed, i.e. coolant, oil, windshield wiper fluid etc. Notes can be added to the vehicle inspection form for needed fluids.
Company Vehicle Keys
The keys to the Nissan Frontier Patrol vehicle will be kept in a lock box by the back door near the large overhead door.
ASI will place 2 sets of keys inside the box, just in case one does not work, you will have a spare.
• All non-working Key FOB’s must be reported immediately.
• If there are not 2 sets of keys inside the box, please contact Jim Seward immediately.
• If you are relieving someone for the next shift, you can accept their keys
Keys are NOT to be copied under any circumstances, unless authorized by the President/CEO. Employees found to have created keys on their own shall be subject to Disciplinary Action, up to and including Termination from the Company.
All keys issued to employees must always be safeguarded and never loaned to anyone. Immediately report any Lost or Stolen Keys to your Immediate Supervisor.
Employees may be responsible for the cost of re-keying the Client Site Location, if such action becomes necessary, due to Lost, Stolen, or Unauthorized Copied Keys.
Driver Licensing
Company drivers and anyone authorized to drive the company vehicles must have a valid driver’s license issued in the state of residence for the class of the vehicle being
operated and must be able to drive a vehicle. Obtaining a driver’s license is a personal expense. If your license is suspended or expires, you lose the ability to drive the patrol vehicle, yes, even on private property. (Insurance purposes)
Driver Qualifications
Driver qualifications are as follows:
1. Only Authorized employee of the company.
2. Must be at least 21 years of age.
3. Have at least one year of experience in the class of vehicle operated.
4. Must meet licensing requirements.
5. Will not qualify for a company vehicle if, during the last 36 months, the driver had any of the following experiences:
• Been convicted of a felony.
• Been convicted of sale, handling, or use of drugs.
• Has automobile insurance been canceled, declined, or not renewed by a company?
• Been convicted of an alcohol- or drug-related offense while driving.
• Had driver’s license suspended or revoked.
• Been convicted of three or more speeding violations or one or more other serious violations.
• Been involved in three or more chargeable accidents.
Review of Motor Vehicle Record
State Motor Vehicle Records (MVRs) will be used as the source for verifying driver history. MVRs will be obtained and reviewed at least annually on driving employees. (The insurance company requires that we provide them with the driver’s license number and date of birth for anyone who may drive a company vehicle.) Driving privileges may be withdrawn or suspended, and/or the company vehicle removed from any authorized driver not meeting the above requirements. In addition, appropriate disciplinary action may be taken, up to and including termination of employment.
As a current employee, I understand that a Motor Vehicle Abstract report will be ordered and reviewed to assess minimum eligibility to determine driving privilege.
Vehicle Use
The company vehicle is for the Tulsa Welding School property only, unless refueling or maintenance, i.e. oil changes etc.
Rules Applying to Use of Company Vehicles:
• Only authorized employees are allowed to operate the
• Personal trailers, including boat and recreational vehicles, are not to be pulled.
• The company vehicle is not to be driven while under the influence of alcohol or any controlled substance.
• Possession, transportation, or consumption of alcohol or illegal drugs by anyone in the vehicle is not allowed.
• Driver and all passengers must wear available personal restraints.
• Report any accident immediately to Jim Seward and the police if you are driving on public streets.
Any exceptions to these rules require advance, written approval by Jim or Holly Seward. Violation of these rules will result in disciplinary action, from the removal of driving privileges to termination of employment.
Traffic Violations
Fines for parking or moving violations, towing, storage or impoundment are the personal responsibility of the assigned operator. The company will not condone nor excuse ignorance of any motor vehicle violations that result in a court summons being directed to itself as the owner of the vehicle.
Each driver is required to report all moving violations to Jim or Holly Seward within 24 hours. This requirement applies to violations involving the use of any vehicle (company, personal or other) while on company business. Failure to report violations will result in appropriate disciplinary action, including revocation of driver privileges and possible termination of employment.
Accidents Involving Company Vehicles
In the event of an accident:
• On public roadways, Call the police on all accidents and obtain a copy of the police report. On Tulsa Property, call Jim or Holly Seward for guidance.
• Do not admit negligence or liability.
• Do not attempt settlement, regardless of how minor.
• Get name, address and phone number of the injured person and witnesses, if possible.
• Exchange vehicle identification, insurance company name and policy numbers with the other driver.
• Take a lot of photographs of the scene of the accident if possible. (Using Time Stamp Camera)
• Complete the accident report in your vehicle.
• Turn all information over to Jim or Holly Seward immediately.
Thefts
In the event of the theft of an ASI company vehicle or property from the vehicle, notify Jim Seward, Holly Seward or Christopher Thompson immediately.
Driver Responsibilities
Each driver is responsible for the actual possession, care, and use of the company vehicle in their possession. Therefore, a driver’s responsibilities include, but are not limited to, the following:
• Operation of the vehicle in a manner consistent with reasonable practices
• Do Not Follow too closely
• Do Not Drive too fast for the conditions
• Do Not Fail to observe clearances
• Do Not Fail to obey signs
• Do Not Make Improper turns
• Do Not Fail to observe signals from other drivers
• Do Not Fail to reduce speed
• Do
Not Park improperly
• Do Not Pass improperly
• Do Not Fail to yield
• Do Not Back up improperly
• Do Not Fail to obey traffic signals or directions
• Do Not Exceed the posted speed limit
• Do Not Drive While Intoxicated (DWI) or Drive Under the Influence (DUI) or similar charges.
I have read and will abide by the conditions as stated in this document regarding the operation of any vehicle for company business.
