Promotions Expectations:
Please allow a minimum of 3-4 weeks once the event has been approved to provide printed and digital promotional material to be ready.

  • IDEALLY, THE PROCESS WOULD BEGIN
    3 MONTHS BEFORE THE EVENT.

    If that is not possible, we will do our best to accommodate your request, and bear with us if the print request or room needs may be delayed or unavailable due to time restraints. But be assured we will work hard to communicate and accommodate you for your event.

    Step 4 - Event Promotion Meeting (w/ Communication Team)
    Step 5 - Creating Content by the Communication Team
    Step 6 - Promotion Begins
    Step 7 - Promotion Continues
    Step 8 - Final Follow Up

    As you set up promotion requests, please keep in mind we need about 3-4 WEEKS to create/provide the resources needed to promote your event.
  • THE WHAT

    This section will tell the Communications Staff what your event is and what you hope to accomplish.
  • Example: We want this event to be open to men and women for fellowship, to enjoy food together and have a Bible study.
  • WHEN & WHERE - Give dates, times and location you are requesting. (Rooms are not guaranteed, but will be confirmed by the Staff. Barb Raddatz will share all updates on Room & Resource requests.)

  • Example: 1st & 3rd Mondays monthly. Every Wednesday for 8 weeks.

  • If the auditorium is needed, we first must check if there is tech support & staff for the room available for the dates you have requested.
  • Describe room set up if different than GC's standard set-up. Indicate how many chairs and tables you prefer.



  • TECHNICAL SUPPORT:

  • Example: I would like to setup an appointment to test the connection between the TV & my computer.
  • Do you have any additional information to add or a comment about your schedule time or room request?

  • CHILD CARE NEEDS - A request for child care will be forwarded to a director of Children’s Ministry for confirmation/availability. They will contact you regarding availability within a week.

  • PRINT MATERIALS REQUEST - All brochures and handouts MUST be approved prior to distribution. Please allow 4 WEEKS for us to create/provide the resources. Promotional materials, timelines and lobby requests will be determined by the Communication Team. You will receive an email from Israel Ruiz to confirm a meeting about your promotional needs.

  • DIGITAL MEDIA PROMOTION - Using social media and the church website.




  • SUNDAY MORNING PROMOTION

  • If approved, there must be someone from your group present to serve 30 minutes at the beginning and end of each service.
  • If approved, what dates do you prefer for lobby promotion?
    (Maximum of 4 weeks for event. More weeks are available if there are open spots.)
  • STAFF FOLLOW-UP TIMELINE:

    1st Follow Up - 1 Week After Form Is Submitted
    2nd Follow Up - 1 Week After Event Has Been Approved.
    3rd Follow Up - 1 Week Before Promotions Begins
    4th Follow Up - 1 Week After Event Has Been Completed
