Terms and Conditions
1. The Hirer must be a responsible adult, who is at least 21. The hirer may be asked to provide satisfactory proof of age in the form of a Driver’s Licence, Passport. The hirer must be present for the duration of the event, any event held at the hall should not be advertised on any social networking website.
2. A returnable damage deposit is negotiable for 18th and 21stBirthday parties, or events of a similar nature where 1st Burton Latimer Scout Group feels a certain element of risk is involved, A returnable damage deposit and a 50% hire fee deposit is payable at the time of booking. The damage deposit will be refunded after the event, subject to satisfactory compliance with these terms and conditions.
3. The remaining 50% of the hire should be paid at least two weeks before the event.
4. The Hirer may not transfer the hire of the premises to a third party. The hire of the premises pursuant to this agreement does not convey any right, title or interest in the premises other than as expressly stated herein. The duration of the hire will include any time for setting up and clearing away, and this time is chargeable.
5. The premises may not be used for any purpose or for any period other than as specified on the hire agreement form.
6. The capacity of the hall is 100 people. This number must not be exceeded.
7. No items or equipment may be stored on the premises without prior approval.
8. Should alcohol be consumed on the premises, care shall be taken by the hirer to avoid excessive consumption of alcohol. Drunk and disorderly behaviour shall not be permitted either on the premises or in its immediate vicinity. No illegal drugs may be brought onto the premises. Any person suspected of being drunk, under the influence of drugs, or behaving in a violently or disorderly way will be asked to leave the premises.
9. Observance of all safety notices and instructions is the responsibility of the Hirer
10. 1st Burton Latimer Scout Group and members thereof will not be liable to the Hirer, or persons invited by him/her on to the premises for any personal injury, damage or loss to them, or to goods brought by them onto the premises.
11. No parking is allowed in the area directly adjacent to the building as this is a private parking area. The access to this area must not be blocked at any time.
12. Smoking is not permitted anywhere in the building or grounds.
13. All music must finish by 11.00pm and the premises must be vacated by 12.00pm at the very latest. PLEASE RESPECT OUR NEIGHBOURS AND KEEP NOISE TO A REASONABLE LEVEL
14. The hirer must ensure that all persons using the premises remain inside wherever possible. Loitering in the grounds, or in the immediate vicinity of the premises will cause disruption to residents adjacent to the premises. When leaving the hall, the Hirer shall be responsible for all persons making a prompt departure from the event, ensuring that they are quiet and noise is kept to a minimum.
15. The Hirer is responsible for switching off all lights (including those in the toilets); cleaning and storing away all kitchen equipment used and making sure all taps are turned off. Securing all doors and windows, returning any tables and chairs used to their storage location and for returning the keys to the group.
16. The Hirer is responsible for ensuring that all persons know the location of the fire alarm, fire extinguishers and fire blankets; that all users know where the assembly point is and what to do should the need to evacuate the premises arise. The Hirer should familiarise themselves with the building risk assessment, and note that a first aid kit is located in the kitchen. All accidents should be reported using the forms in the first aid kit.
17. The hirer shall, during the period of the hiring, be responsible for: supervision of the premises, the fabric and the contents; their care, safety from damage however slight or change of any sort; and the behaviour of all persons using the premises, whatever their capacity.The Hirer shall make good or pay for all damage (including accidental damage) to the premises, or to the fixtures, fittings or contents and for loss of contents or reputation arising from any incident.
18. Where events involve the playing of live or recorded music for a paying crowd, the sale of alcohol, or other licensable activities, the hirer should submit a Temporary Event Notice to the Local Authority and to the police. It is the responsibility of the hirer to ensure that a TEN is submitted and that 1st Burton Latimer Scout Group receives a copy of the form. Guidance on how this can be done can be supplied on request. Failure to comply may result in prosecution.
19. 1st Burton Latimer Scout Group and members, or their representatives, reserve the right to enter the premises at any time during an event to ensure that these terms and conditions are being adhered to.
20. The 1st Burton Latimer Scout Group and members reserve the right to cancel confirmed bookings without reason.
20. These conditions are subject to change without prior notice.
21. Failure to comply with these conditions may result in the loss of the Hirer’s damage deposit.
22. A copy of these terms and conditions will be provided at the point of handing the keys over and will require a signature below.
